    There was an error on our website when users access their payment methods. This could have also happened if a user tried to make a payment for the first time (i.e. on signup). The error has been resolved. If you receive any emails, please let them know that they can retry their payment action. Thank you

    Hi Lovely Admin Staff. Happy Thursday! A few notes and reminders: -please keep the smartsupp chat open at all times and try best you can to be vigilant about responding to messages. We've missed about 5 new parents asking about registration which is 5 potential new students that didnt get enrolled. Let's keep growing our classes and touching base with those who inquire about our classes -Always mention that we do prorate the tuition if they join mid summer. We are beginning week three now so parents may be worried about paying for the fill session if they're only dancing for 3 weeks. Please let them know we are happy to prorate their class tuition for them with out proration discount code -our class make-ups are getting a quite hectic. We had a few mistakes on them this week and still still a few more being made. Kingel Naik is missing 3 classes and asked for makeups on two dates. Now there are 4 makeup classes listed on her roster. I will do my best to go back and fix these but please be sure to review the training video on how to process them properly. To avoid future confusion I am adding a field at the bottom of the makeup request template that reads "processed by:" and would like staff to put their initials in this field so if issues do arise I know who to touch base with the help resolve them. Thanks so much!

    Hi Admin, important video update for you all. It is about 20 minutes in length and very important to watch before you next admin session. Short recap below but please do still watch the full video: • Please be sure we are all following opening, closing, and between class cleaning procedures! These are very important and haven’t yet been done consistently each day • The email inbox has to be kept in order. If you have not watched the video on how to clear the inbox it is imperative that you do so. Our inbox should never get up to its current state of 227 emails. We should keep it in single digits at all times. • Admin tasks on the google doc are currently either not being done or not being checked off as only one item has been checked off on Monday and no other items checked off since then. We are starting to get behind on our tasks and need to work really hard today and Thursday to reset before Monday in order to get back on track

    Hi Admin Team, Friendly reminder that the admin tasks listed on the google docs each day are in order of priority, please do go in order of the tasks listed. Responding to emails and processing new registrations need to be done at the beginning of every shift so that we are staying on top of these tasks before starting on other items that can wait until the next business day if necessary. If there is a task that you don't know how to do, please ask rather than skipping down to something less urgent that you do know how to do. Thank you!

    Hi Team! Here is our weekly Monday Admin check in video. Great job clearing out the inbox and getting most of last week's tasks done. There are a few more maintenance tasks on the document to wrap up and then we will start in on some competition tasks (registering for competitions, measuring for costumes, etc). We will continue to add to our video tutorials so please continue bringing ear phones to the studio in order to continue watching them to learn how to do new tasks that are added. As always, please let us know if you have any questions! Keep up the good work

Even if they ask, instead of offering to do it for them, please send them instructions on how to cancel it themselves. If you do not know what instructions to send them, please take a look at the youtube playlist above and create a short how-to for them to send via email. Here’s a snippet of what was sent to the customer that we should avoid:

    Dancers often have many different instructors, especially as they grow in skill and learn more styles. Yes, our teachers have changed for her classes, but all of our teachers are well suited for their classes. Was there an issue in class that is concerning? I would be happy to discuss this further, and am happy to help.
    I would wait for a confirmation that there’s nothing we can do before sending instructions on how to cancel. Often, these issues can be quickly resolved. all it takes is talking to them to find out what the issue was.

    <!channel> Adding in to this, we do have multiple ballet teachers so we can always offer to let them try a different ballet class if their first instructor didn't mesh with their personality. They can also try one of our 8 other classes offered (jazz, tap, musical theatre, hip-hop, lyrical, tumbling, flexibility, rhythms & grooves, etc) and we should offer them a free trial in any of these classes until we find a good fit for them. We 10+ class styles and 7 different teachers, we absolutely have a class that's right for everyone and we should do everything we can to help them find the right fit in lieu of offering to just cancel the class. It's important to keep in mind that we are still rebuilding our student base post covid. Every student, every trial, every person that walks through that door is an opportunity to bring someone new into our dance family. Many of our classes are just on the border of having enough students to remain open this season. Many of our instructors depend on the hours and income we provide them to pay bills, provide for their families, etc. We have to do everything possible to keep their class enrollment high enough to stay open to avoid cutting their hours. Please emoji react when you've read these message as they are important for us to all be on the same page.

    Hi Admin team. I was going through all of the tasks for this week and everything is looking awesome! You all have done a fantastic job this week of getting all of the office tasks completed and double checked. Thanks so much for you help! I’m working on making a few checklist sheets for you all to use when processing new trials, registrations, etc to make everything more clear for you all so be on the lookout for tutorial videos for this by the end of the week.

    Happy Wednesday Admin Team! After watching the tutorial videos on the new google sheets system for trial students, new registering students, and dropping students Please be sure to begin following those steps right away! I’ve entered a new trial from yesterday named skye into the sheet. Please process this today by following the steps in the video. Note for trial students if they are only trialing one class, under trial date simply list the date for that one particular class. If the student is trialing more than one class please enter the date range for the first class and the last class There’s lots of new systems being integrated so if at any time you’re confused, have questions, or don’t understand something please let us know! I try to be super clear in the videos but there’s many times where something is clear to me but may not be clear to others 🙂 Lastly, we do have payments coming in for our competition team jackets beginning today and going through the 15th. I will make a short 3 minute video on how to process these for this week The competition student breakdown sheet is looking great! Thanks for all of your hard work on this!!!

    Hi everyone, this task wasn't marked off with an initial for who processed it so I'm not sure who handled this task and thus need to send the correction to the entire group: Charlotte Wong was taking both lyrical and flexibility. She asked to move from flexibility to musical theatre. Here is what should have happened: • We add Charlotte to the schedule change tab and continue through all the steps listed on this sheet which are as follows ◦ Update the rosters for both classes ◦ Update the student breakdown tab ◦ Update payment (if applicable) ◦ Then initial your name to sign off Instead she wasn't add to the schedule change tab, she was left on the flexibility class roster, instead of updating her listing under the break down tab she was instead added once again so now we have two Charlotte Wong's listed and the new one doesn't list the lyrical class that she is enrolled in and continuing with. The purpose of the new sheets are to ensure that steps like this aren't being missed or done incorrectly, but they don't work if we don't use them. It also causes other admin staff members to spend a lot of time double checking and correcting past work, as mentioned above. Please adjust accordingly for the upcoming week

    Hello admin team, we are going to start training a new admin member this week; Torie and I’s plan is to have them take ALL admin hours for this week to expedite the training process, and get them up to speed as quickly as possible. Moving forward, depending on how things go with the new member, we will likely shift teachers away from their administrative tasks and hours, to allow them to focus solely on teaching while administrative members focus on reception tasks. @Bella and @Jaymee Boyd could you please confirm that this works for you? For clarity, this means that starting Monday, both of you will only need to come in for teaching hours. After this week, if we decide to continue with the new member, this change will be permanent.

    HI team, @admin please make sure that all ASI students are out of the building before you leave, even if a renter is staying in the building. All ASI students should be picked up and leave before our admin team does. If you can’t stay, please call Torie or I and ask us to come by/stay instead.
