Hello All, I have joined a company in their restarting phase and a lot of employees are working from before COVID lockdown that had hit the shutdown. I have hired many new employees and am processing the appointment letters and other documentation to create a work culture of safety for skill-based staff. I want to know if the appointment letters could be given to the old staff too, and if yes then what could be the dates/compensation details in the letters? There was no HR till now in this firm, so I have to create the whole set-up. Could I give a fresh new letter to all with the new CTCs mentioned? Please guide me, thanks so much.

hi @hr can you share a few more details, to help you better. when you say restarting what do you mean, was the company shutdown and now you are starting off as a new company all together, or was it temporarily closed and now resuming operations?

Hello, yes temporarily closed and have resumed all operations and sales now. There was a downtime of about a year and now we have old staff + newly hired staff.

ok in that case you was any kind of letter issued to the old employees prior, if yes you can make a reference to that and reissue a new letter with the original date of joining, else you can issue fresh letter with their original date of joining.

yes you can issue a fresh letter and the old CTC for them since you are back dating it, adding new CTC will not be the right information, and can separately issue a salary revision letter with the new CTC with the effective from date.

Hey, @hr I have undergone somewhat same situation in the past. At that time, I issued all the letters on a back date with their original CTC breakup and then issued all the revised letter (notice, salary, etc). You can also do the same to complete your documentation & compliance part.
