Usual turnout rate: 20-30%. Anything above 30% is considered great. Email reminders to people who registered: • 24 hours days to go • 1 hour to go • Live now

Have been doing Masterclass format, 90-min session for HR audiences. • Have done 10 of them • Registration numbers from 1200 up to 6700 (highest) • have been sending 3 Zoom reminders (1 week, 1 day, 1 hour), Whatsapp broadcast (for India) • Typical LIVE turnout - 33-38%

We had launched a company and hosted around 120 workshops daily.

30% turn up is the least you should have.

Thank you folks for the numbers, would love to see some more responses for benchmarking. We at Airtribe have been seeing 26-35% and occasionally reaching upto 40%. We have been following 3 email reminders and one whatsapp msg. Emails: 24 hour, 1 hour, 5 mins and one 30 min reminder on Whatsapp. Started experimenting with one extra reminder on whatsapp on the day of the session and saw 2-4% increase in turnout. Wanted to do some benchmarking and see if i can optimize more without overstepping on the reminder messages.

Increase the whatsapp reminders.

120 Workshops a day! that's some crazy scale @Aviral Bhutani. šŸ™Œ Follow up Q: Have you observed any specific day of the week and time slot which has consistently got a great turnout.

Well, there are 3 parts to this: Your registrations, your attendance, your retention. Registrations: Start acquisition 2 weeks before the event. An ideal approach would be a 1:50 ratio. For every 50 people you invite 1 would register. So if you want 300 registrations you need to invite 15000 people. Ideally 1 message every 3 days for 2 weeks. 1 message everyday in the last 3 days. Try different copy variations to see what works best. Sometimes just sending a calendar invite also works. Gray hack, use it only when you are low on numbers. Attendance: Start reminders 3 days before the event. Start by blocking calendars and sending confirmations. Then send out an update email where you share some more information. One night before the event send out whatsapp messages with all the details as a reminder. 2 hours before the event also send a whatsapp message saying we cant wait to meet you virtually. This will give you a 50% attendance rate. Retention: The quality of your content, gamification, and ongoing engagement will decide if people stick through the end and will they come back the next time you invite them. Post event send a thank you note seeking feedback. Then the next time you invite them tell them that you worked on their feedback. Theyll be more than happy to rejoin.
