Sorry can you clarify a little for me? Does this mean that no prospective form since that date was logged in github?
i
We have received and responded to form since that date, but that date and student was the last of the automation working. Transferring the information from the email to github.
t
So how did you guys process their follow up contact dates and such between the 17th and now?
i
I don't believe we did. Speaking for myself, I was focused on the prospective automating at that time since you were also reviving some of the olders ones, so I never checked if the new ones were coming in properly. Also because some of them went straight from prospective to the trial board so I was assumming it got auto transferred. That was my mistake.
As I am checking what happened, it officially wasnt automating past March 3rd. 1 perspective was missed since Feb 18-March 3rd.

Okay so most prospectives worked 2/18-3/3 except 1? Then all were missed after 3/3? The questions I have are: • Were we still doing followup calls in March (separate issue from this but still relevant to this error getting caught)? When I look at the prospective calls board it looks like we are very back logged through all of March. Are these being done daily still? • For all new prospectives that came in after March 3rd - were we following the procedure of leaving a comment that we sent the lead email, logging all contact they sent back to us, and updating their next contact date to consistently follow up with them? • Similar question, have any of the March prospectives been getting their follow up conversations after initial email lead?
Sorry I should've sent this in the channel too since there was a pause between correspondence on my end
i
• correct, automation stopped after March 5th. I am checking how many were missed as most did sign up for trial immediately after the template was sent. • We were doing follow-up calls up until spring break. After spring break we came back to playing catch-up and starting the recital organization. I did not make any prospective calls since. I am unsure about any one else.
• from the best of my memory I asked Julie at one point about the prospective transferring over to github but they take about 24 hours and I need to leave them in the inbox. on my half i forgot to go back and check to see if they did transfer over. • most have as they would either text or call us, but I am trying to figure out who hasn't received any notification post information email being sent
Questions on my end: • for the students that went straight to trial or enrollment, would you like me to add those to prospective still or leave them alone as they have already been processed to the next section?
t
Yes they always still need to be added to prospective for our data
I'm showing 20 people who did not get a follow up call before spring break (excluding all the prospectives that didn't get added), and another 19 that didn't get one after spring break. I'm not sure what happened before spring break - it looks like these just stopped getting done, but maybe you all have more context that I don't have. Post spring break catch up for one day, two if need is fine - but we definitely can't just stop doing the prospective calls altogether. You guys will have to work together to figure out who is going to do what to best divy up tasks. There were between 1 to 5 calls to be done each day so it would have been easier to just keep up to date with them versus now having to go back and catch up on all of these. Not to mention the fact that these were families that could have signed up in time to potentially do recital but now will have missed that opportunity. We can discuss more when I arrive
